Job Description

The Veolia North America Legal department is looking to hire a full-time Legal Assistant in North Andover, MA. The ideal candidate has the ability to work efficiently and independently in a high volume environment with multiple deadlines and changing priorities.  The position requires that the candidate have the ability to produce high-quality work with meticulous attention to detail and accuracy.  
Responsibilities include:
  • Administration of the Company's electronic legal billing and matter management system, Legal Tracker:
    • Analyze legal bills to ensure time and expenses billed by our outside law firms and vendors  are in compliance with the Company’s Outside Counsel Guidelines



  • Resolve and respond to invoice queries from outside vendors


  • On-board new vendors, including drafting retention letters, management of vendor rates and dissemination of Outside Counsel Guidelines


  • Accurate and timely matter/case management, including opening and closing matters, coordinating with in-house and outside counsel, drafting case summaries and updating case status


  • Facilitate vendor payments, settlement checks, wires and expense reports using the Company’s financial systems:  Coupa and Webnow


  • Receives, routes and tracks all Service of Process to the proper party for handling 


  • Answering subpoenas/requests for personnel records


  • Oversee and facilitate various quarterly legal financial reports and audit letters, which includes collaboration with in-house and outside counsel, drafting and updating case updates, communication with the Finance department and auditors  


  • Assistance with legal research and document review (hard copy and electronic)​


  • Managing file system:  including filing, indexing, retrieval, storage and destruction with Iron Mountain  


  • General administrative assistance including paying office invoices, preparing expense reports and planning travel


Job Requirements

  • Bachelor’s Degree 
  • Must show the ability to produce a large volume of high-quality work product with meticulous attention to detail and accuracy.
  • Must have the ability to work efficiently in a high volume environment with multiple deadlines, changing priorities and interruptions.
  • Must possess analytical and critical thinking skills sufficient to make independent decisions regarding complex daily work.
  • Demonstrates organization, researching and investigative skills.
  • Must possess a basic knowledge of principles, practices, and procedures of the law.
  • Ability to communicate (orally and in writing) effectively with all levels of management and external contacts is critical to success in this position.
  • Must have ability to work in a team environment and willingness to assume additional or new

responsibilities readily.
  • Demonstrates effective use of technology, including computers, word processing and spreadsheet programs, email and the Internet.
  • Demonstrates efficiency with telephones, printers, copy machines and other commonly used office accessories and equipment.
  • Must uphold the ethical standards of the legal profession.
