  • Acts as key customer contact delivering a high level of customer service to our clients both inside and outside the organization.
  • Under basic direction of the General Manager, manages the project's various accounting and budgeting functions to ensure customer satisfaction and the meeting of contract and corporate requirements.
  • Provides professional financial support, expertise and guidance to internal clients including financial management, operational management and other members of the Finance & Accounting department.
  • Utilizes the financial statement of the organization and site data for budgets, forecasts, prior year trends, and the creation of ad-hoc analyzes.
  • Supports corporate and project safety objectives.

Primary Responsibilities / Job Duties:
  • Provides direct administrative support for the General Manager and other identified positions.
  • Analyzes customer contracts and establishes billings. Processes monthly billing, accounts payable, account receivables; addresses and resolves any billing disputes or collections issues. Reviews aging report and customer balances and reconciles to general ledger.
  • Participates in the project's annual budget and forecast development processes.
  • Collects, compiles and analyzes complex information for inclusion in reports and presentation materials; develops templates for activities, reports, and presentations to maximize efficiency and reduce turnaround time.
  • Composes and initiates correspondence, memoranda, and reports; proofing and editing for proper spelling, grammar, clarity of expression, organization, and conformance with Company and client specifications; proofs art and graphics and verified consistency with text material.
  • Responsible for financial statement analysis including: revenue recognition principles and practices, managing revenue and expense accruals to properly reflect incurred and earned activity according to the matching principle, provision and SG&A activity.
  • Collects and enters data to maintain and update various databases and spreadsheets including tracking project costs and schedule performance, inputting and maintaining budgets, and providing summary and variance/deviation report to facilitate management review. Ensures data integrity by verifying inputs and calculations; creates, runs, and distributes standard and customized periodic reports. Maintains organized computer and hard copy files for easy identification and retrieval.
  • Provides records management support in compliance with corporate policy.
  • Orders and maintains adequate inventory of office and other identified supplies within established policies and budget. May source and recommend new suppliers and may negotiate best price, quality and delivery.
  • Provides reporting and analytical support to the business related to business development activities.
  • Reviews and prioritizes incoming communications, screens callers, visitors, and incoming correspondence and performs such administrative support functions as scheduling and coordinating office meetings, coordinating appointments and travel.
  • Serves as liaison to corporate shared services for HR, Accounting, IT, Safety and Communications regarding implementation of corporate policies and benefits. Collects, compiles and sends to corporate departments complex data and information such as employee data, worker' compensation, accident investigation and reporting, safety training records, communication needs, and accounting data.
  • Coordinates new hire on-boarding process with HR Shared Services and supervisor. Ensures new hires are provided needed equipment, space, and access to system as required for the job and receive necessary orientation and safety training.
  • Trains personnel of all levels in various computer software and administrative procedures.
  • Challenged to balance and prioritize workloads while maintaining a high degree of efficiency, timeliness, quality, accuracy and confidentiality.

Job Requirements

  • Bachelor's degree in Accounting or Finance plus five (5) years professional experience preferred.
  • A combination of education and eight (8) years of experience in one or more areas of accounting with a high level of analytical ability and may be substituted for a degree.
  • At least five (5) years of experience in a n administrative capacity for a project, program or department is required.
  • Strong PC skills with proficiency in word processing, spreadsheet, database, financial analysis software and financial systems.
  • Must have a valid driver's license with a safe driving record.
  • Must be able to pass all pre-employment verification (including criminal background and drug test.)
