Job Description

This new hire can be an Entry Level role, or a Junior level role. 

This new hire will working as part of the Proposal Group in Tampa, Florida, in the preparation and support of Proposal and related submittals. The role will be central to Veolia’s ability to produce quality proposals for the municipal, commercial and industrial business sectors. 

The role will involve specific responsibilities for: document and presentation production support and coordination; graphics design and production; writing and editing for Proposals and related documents; as well as data gathering and coordination responsibilities. 

This will include hands-on production and coordination, from start to finish, of documents, presentations and other items produced by the Proposal Group.

This position will have no direct reports. 

This person will be required to be able to effectively coordinate with management staff, other professionals and administrative resources located in the Tampa and Boston offices, as well as those located at other regional project and management office locations.

PRIMARY RESPONSIBILITIES/JOB DUTIES

This primary responsibility for this new role will be to support small and large efforts for Proposals (and related documents), along with the other activities that are supported by the Proposal Group.

The following is a breakdown of some of the key roles and responsibilities of the Proposal Writer:
  • Organization and Support – This person will need to be able to work effectively with Proposal teams, including staff from the Proposal Group, Sales staff, project Development staff, support staff, as well as resources from partner firms and subcontractors that may be engaged in the process. This will include receiving assignments from the Vice President of Proposal Development and/or the designated Proposal Manager for individual projects, analyzing Requests for Proposal (or similar documents), working to support the plan and schedule for production, and then supporting the production process from start to completion.
  • Proposal Production – This person, working in collaboration with other members of the Proposal Group (and other members of the Business Development team engaged in a given project), will be responsible for writing, editing, assembly, production and delivery (when needed) of Statements of Qualifications, Proposals, Presentations and related documents that are part of the development cycle. An emphasis in this area will be on graphics production, writing/editing and the assembly and production of documents, presentations and related materials.
  • Data Management and Tracking – This person, working under the direction of other members of the Proposal Group, will be responsible for supporting data tracking and database maintenance. This will include the gathering, maintenance and update of Project Information, Resume Information and other database information that is maintained by the group. They will be trained in the use of data and information management tools (including RocketDocs, SalesForce and other tools, as appropriate)
  • Outreach Program Support - This person will also work with the Vice President of Proposal Development, and others in the company, to meet Diversity and Outreach Compliance types of efforts — this will include Proposal-specific efforts and building a database for Outreach efforts.
  • Other Support – This person, working as part of the Proposal Group, will also be engaged in supporting project development, sales support and project delivery types of activities. This could include project report development, presentation development support, and other similar activities.


Job Requirements

Educational Background
Position requires a college degree in Communications, Marketing, Business, or a related area. 

Job Skills/Characteristics
Core skill requirements include:
•Proven ability to manage Proposal and/or Business team in the production of high quality documents.
•Proven writing and editing skills with business and marketing related types of documents.
•Ability to use desktop publishing types of tools, as well as demonstrated ability with graphics related types of programs.
•Ability to effectively coordinate reporting, administrative and support tasks for a wide range business development and management staff based in company offices and remote locations.
•Ability to carry forward research activities under the supervision of management staff and to develop reports based on guidance by managers.
•Ability to effectively coordinate with other Business Operations Center groups, outside vendors, as well as other Veolia company offices and departments to accomplish assigned tasks.

Experience/Knowledge
  • This is a management level position that requires five to eight years of related experience in Proposal management and production.
  • Experience in working with an environmental services or similar type of company is preferred. 
  • Demonstrated experience working with diverse teams to manage and deliver high-quality documents and presentations is preferred.
  • Specific experience in the water, energy and utility markets is preferred, as well as knowledge of the municipal outsourcing market is also preferred.
  • Core skills requirements include: writing and editing experience to produce high-quality, message-driven documents; experience in using data management and tracking tools; experience in working with desktop publishing (InDesign) and presentation tools (preferred skill); experience in working independently; experience in coordinating the work of multiple assignments; experience in effectively working with diverse project teams on successful business development efforts; and experience in working as part of a Business Development group to support project development as an “inside” resource for a Sales and Development team.
  • The position demands a person who is deadline-oriented, who has demonstrated the ability to work with staff at all levels (including corporate management), who is able to deal effectively with internal and external production and support resources, and who is able to effectively manage multiple projects and assignments. 


WORK ENVIRONMENT
  • This job involves working as part of a team in a regional business office with limited administrative support, and also functioning as part of the larger Marketing and Communications team serving business lines in North America. 
  • This position will also require regular interaction with and providing support to Veolia business lines in the U.S. and Canada, as well as with other Proposal and Business Development teams in Europe.
  • The role will involve limited travel to support Proposal and Development teams at other sites in the U.S., and to attend meeting and other events at various sites.
  • The position is a salaried role and will regularly require work beyond “normal hours” to meet deadline requirements, this includes more than an 8-hour day on many occasions, work on weekends (as may be needed), as well as work on holidays (as may be needed) – all as deadlines and priorities dictate.
  • There can also be flexibility provided to work at home, or off-site, on occasion (and with the prior approval of the Vice President of Proposal Development).
